BASIC PURPOSE : The primary purpose of the Corporate Meeting & Event Specialist position is to work closely together with the Manager of the department to ensure a successful journey through the processes in place for each step in planning an event or meeting. Duties and responsibilities may include but are not limited to the following:

MAJOR RESPONSIBILITIES:

  • Collaborate with the Manager of the department regarding ongoing processes regarding upgrades, enhancements and opportunities.

  • Reading and processing contracts by working with Love’s internal legal department and the vendors.

  • Coordinating various tasks with multiple vendors, planning menus, travel arrangements, hotel rooming lists, meeting or event room set up, coordinating activities and prizes.

  • Research venues, entertainers and various team building ideas.

  • Handle moderately complex issues and problems and refers more complex issues to higher-level staff

  • Process and track RSVPs.

  • Support budgeting process, track and document expenses for analysis and year to year comparisons.

  • Maintain all accounting, documentation, records and files related to above events.

  • Work on-site and off-site events in support and lead roles as necessary. Provide attendee level customer service as needed.

  • Create timelines and projections for events.

  • Create communications and communication timelines independently and by working with other members of the Communications team.

  • Regularly handle confidential information.

  • Provide leadership, coaching, and/or mentoring to a subordinate group.

  • Maintain a focus on Love’s customer commitments and culture goals in all projects.

  • Some evenings and weekend work will be required.

  • Other duties assigned as needed. EDUCATION AND EXPERIENCE:

  • Education:

  • HS Diploma or equivalent required

  • Bachelor’s degree or equivalent work experience

  • Experience:

  • 5+ years’ experience in corporate event planning and coordination SKILLS AND PHYSICAL DEMANDS:

  • Skills:

  • Hard skills: Microsoft Office Products, General PC/Internet skills, basic accounting understanding

  • Soft Skills: Self-motivated; team player; shows attention to detail; excellent multi-tasker; ability to manage time effectively; ability to independently solve problems; exhibit a professional demeanor; innovative; ability to show integrity in dealing with confidential information; good written and oral communication skills; accuracy regarding all communications that are sent to associates and documents that are crafted; ability to change gears quickly and efficiently; ability to work under general direction, however, able to prioritize work and organize own time using independent judgment. Be comfortable and productive in high stress situations while maintaining a good attitude.

  • Typical Physical Demands:

  • Requires prolonged sitting, some bending and stooping.

  • Occasional lifting up to 25 pounds.

  • Manual dexterity sufficient to operate a computer keyboard and calculator.

  • Requires normal range of hearing and vision.
